Job Description
- Answering phone calls and clearly describing our clinic services to patients
- Assisting patients to book, reschedule or cancel appointments as necessary.
- Processing deposit refunds where necessary in line with policies.
- Responding to emails from patients in a timely manner calling upon input from relevant
- members of staff where appropriate.
- Communicating with doctors and clinic staff about additional patients or cancelled patients
- clearly and effectively.
- Providing doctors with documentation pertinent to booked appointments e.g. referral letters or previous clinic letters or scans.
- Sending patient ultrasound reports securely.
- Sending patient blood results securely.
- Processing referrals for CT scans, mammograms to elected clinics through in house processes.
- Channing up results with laboratory and liaising with patients to keep them informed.
- Keeping patient files up to date.
- Working with our booking system to make adjustments for doctors annual leave and absences.
- Creating accurate invoices for patients in a timely manner.
- Creating and posting accurate patient lists for clinic staff and all doctors.
- Processing insurance information and communicating with patients for outstanding information and payments sensitively.
- Assist the process for claiming from insurance companies.
- Assist the process for claiming from Embassies.
- Accounting responsibilities to aid the monthly payment of doctors and sonographers.
- Maintaining total confidentially of personal and financial data.
- Effectively communicating a handover to fellow team members
Job Requirements
- Excellent patient/customer service skills and the ability to put the needs of the patient first.
- Basic knowledge of medical terminology to help assist patients with their concerns.
- Computer literacy to use word and excel, training will be offered for applications used in house.
- The ability to function well in a team to provide effective administrative support to the clinic
- and all members of staff.
- Excellent organizational and prioritization skills to ensure the clinic runs smoothly and all
- patient needs are met in a timely manner.
- Compliance with our organizational medical confidentiality policies and dealing with patients
- information in a sensitive way.
- Excellent spoken and written command of English with good spelling and grammar for typing
- clinical and administrative letters.
