Overview
The Residence Admin Services Representative is responsible for administrative needs and the admissions process, responding to inquiries from parents, students and guests, handling service requests, and carrying out daily operational duties. The role requires listening to guests and students to deliver an appropriate level of service and maintain high customer service satisfaction. This position operates at the front desk of the residence and interacts with parents, students, guests and residence staff.
Responsibilities
- Demonstrate a high degree of customer service on phone, email and in person
- Maintain records, filing and reporting using internal software
- Walk between buildings and, at times,check rooms for cleanliness and repair prior to room assignments
- Prepare resident notifications/memos and arrange distribution
- Financial administration including processing payments, invoices and account reviews
- Maintain TV displays and video surveillance; ensure cameras are recording
- Communicate pertinent information between staff; maintain resident and guest privacy
- Know emergency procedures and on‑call staff procedures; identify who to contact for various situations (staff and contractors)
- Keep occupancy reporting up to date and available for maintenance and housekeeping
- Manage reservations, check-ins, check-outs and account settlements professionally
- Maintain the appearance of the desk, lobby, display suite and office area
- Order office supplies as needed
- Understand building departments including maintenance, housekeeping, residence life, conferences and sales
- Operate front desk duties including processing applications, renewals, extensions, payments, producing office reports and keeping areas tidy
- Maintain key systems and manage keys for contractors; ensure keys are used responsibly
- Perform other duties as assigned
Communication and Organization
- Customer service: provide clear and accurate information verbally, in writing and electronically
- Communicate notifications and instructions clearly
- Maintain a professional online presence for the residence
- Promote a positive image of the residence
Education and Qualifications
- Education:
DCS/DEC (preferred)
- Experience:
Customer support or client services (2 years preferred);
Clerical experience (3 years preferred) - Language:
Fluent English (required) - License/Certification:
Ontario Driver’s License (required);
Must have a vehicle
Work Arrangement and Location
Work is in-office, full-time.
Location:
Barrie, ON (reliable commute or relocation with a company package may be required).
