As a Senior Case Supervisor, you serve as a high-level closer and strategic leader within the Intake Department. You are not only responsible for managing intake, documentation, and case preparation — you are expected to consistently convert viable leads, handle complex client situations, and drive retained case performance at an elevated level.
This role requires exceptional communication skills, advanced objection-handling ability, and confidence in interpreting and presenting the firm’s retainer agreement. You must be comfortable addressing escalated client concerns, overcoming hesitations, and guiding clients toward confident decisions.
You will take ownership of high-priority and complex files, assist in securing retained revenue, and serve as a resource for Case Supervisors. Success in this role means consistently achieving performance goals, protecting client trust, and elevating department standards.

Key Functions
As a Senior Case Supervisor, your primary responsibilities will include:
- Advanced Client Intake & Conversion: Conduct high-level intake consultations, assess complex eligibility scenarios, overcome objections, and secure signed retainers on viable cases.
- Retainer Agreement Interpretation & Presentation: Confidently explain and walk clients through the retainer agreement, address concerns regarding fees and process, and ensure full understanding prior to execution.
- Escalation Management: Handle escalated client concerns with professionalism and empathy, protecting firm reputation while resolving issues effectively.
- Revenue & Performance Ownership: Maintain strong sign-up to retained conversion rates and consistently meet or exceed monthly retained case goals.
- Strategic Case Evaluation: Identify strong cases, recognize red flags, and collaborate with leadership on non-standard or high-risk files.
- Workflow & Pipeline Leadership: Ensure cases move efficiently through intake stages and assist in reducing stalled or aging files.
- Team Collaboration & Mentorship: Support Case Supervisors with coaching on intake strategy, objection handling, and closing techniques.
- Process Improvement: Identify trends, inefficiencies, and client hesitation patterns and provide actionable feedback to leadership.
Specific Daily (and Ongoing) Tasks
- Respond to inbound inquiries and conduct advanced intake consultations
- Close viable cases same-day whenever possible
- Re-engage stalled or hesitant leads to recover conversion opportunities
- Send, review, and secure signed retainer agreements
- Walk clients through retainer questions with clarity and confidence
- Follow up on documentation needed for legal review
- Review case files for completeness and quality prior to transfer
- Collect and upload documentation into CRM systems (HubSpot, FileVine)
- Proactively monitor pipeline performance and aging leads
- Handle escalated client calls and sensitive concerns
- Collaborate with leadership on high-priority or complex cases
- Provide performance insights and feedback on intake trends
- Reinforce internal policies and model professional excellence
Requirements
· 3+ years experience in sales, intake, legal support, or high-level client service roles
- Demonstrated ability to close and achieve measurable performance goals
- Experience handling escalated client situations
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with CRM and case management platforms (HubSpot/FileVine preferred)
- Excellent written and verbal communication skills
- Strong organizational and time management skills
- Ability to work in a fast-paced, performance-driven environment

Pay range: $25 per hour + bonuses
