🌿 JOIN OUR TEAM
We are looking for a Customer Service & Administration Specialist to join our team and support the smooth management of customer relations, order processing, and administrative/financial activities. This role is key in ensuring an excellent customer experience while maintaining accurate internal processes and strong coordination between customers, internal departments, and international stakeholders.
🌿 THE ROLE
Customer Service & Administration
- Manage customer inquiries via phone and email in a professional and timely manner
- Enter, verify, and monitor orders and customer data in company systems (e.g. SAP)
- Support the preparation of quotations, product sheets, and promotional materials
- Handle and track customer complaints and non-conformities
- Liaise with headquarters to align on product availability, promotions, and commercial policies
- Update customer records and prepare basic reports on sales and service performance
- Manage administrative activities and invoicing processes related to salons
- Collaborate with HR on administrative support tasks
Finance Support
- Prepare and issue invoices
- Extract and monitor key data and invoices from SAP upon request
- Support customers via phone for invoicing, payments, complaints, and disputes (excluding legal matters)
- Share relevant financial information with the sales team
- Monitor scheduled customer payments and follow-ups
Customer Support
- Ensure high-quality support by managing customer requests via phone and email
🌿 REQUIREMENTS
- Fluency in French and English
- Strong organizational skills and attention to detail
- Excellent communication skills (written and spoken)
- Ability to manage multiple tasks in a dynamic environment
- Confidence in using administrative systems (SAP or similar is a plus)
- A proactive, problem-solving mindset
- Team spirit and customer-oriented attitude
