Position Overview
The Defiant Ones is seeking a highly organized and detail-oriented Customer Service & Operations Coordinator to support day-to-day customer service, operational coordination, compliance activities, and order management during a key period of growth and transition.
This role serves as a critical link between customers, operations, logistics, distributors, and internal teams to ensure seamless order execution, accurate reporting, and exceptional customer support. The position will assist with order processing, inventory visibility, shipment coordination, compliance documentation, and operational reporting while supporting a fast-paced and collaborative work environment.
This role will begin as a part-time position supporting operational needs through the summer and transition to full-time during a maternity leave coverage period beginning in the fall. Continued employment beyond the contract period will be evaluated based on business needs and company growth.
The ideal candidate is proactive, detail-oriented, solutions-focused, and capable of managing multiple priorities in a rapidly evolving business environment.
Key Responsibilities
Customer Service & Order Management
- Process and manage customer orders accurately and efficiently
- Serve as a primary point of contact for customer inquiries, shipment updates, order tracking, and issue resolution
- Coordinate closely with distributors, warehouses, logistics partners, and internal teams to ensure timely order fulfillment
- Maintain accurate customer records, order details, and operational documentation
Operations & Inventory Support
- Monitor inventory levels, product availability, and operational reporting
- Assist with inventory reconciliation, tracking, and shipment coordination
- Collaborate with the Supply Chain Logistics team to support seamless movement of finished goods and materials
- Maintain and update operational data, reporting tools, spreadsheets, and tracking systems
Compliance & Administrative Support
- Support alcohol beverage compliance activities including documentation management, shipment reporting, licensing support, and regulatory record maintenance
- Prepare and maintain operational and shipping documentation with accuracy and attention to detail
- Assist with maintaining audit-ready records and compliance tracking
Financial & Reporting Support
- Assist with customer account follow-up, invoice coordination, and accounts receivable support activities
- Support operational reporting and business visibility through accurate data management and reporting
- Monitor and communicate order status, discrepancies, and operational updates to internal stakeholders
Cross-Functional Collaboration
- Work closely with Customer Service, Operations, Sales Support, Logistics, and Leadership teams to support overall business operations
- Identify opportunities to improve operational efficiency, communication, and customer experience processes
- Contribute to a collaborative and solutions-oriented team environment
Qualifications
- 2–4+ years of experience in customer service, operations coordination, logistics support, order management, or related fields
- Strong organizational and time management skills with exceptional attention to detail
- Proficiency in Microsoft Excel and operational data management
- Experience working with ERP systems, CRM platforms, inventory management systems, or order processing software preferred
- Familiarity with inventory management, operational coordination, and customer account support
- Experience within the alcohol beverage, beverage, food manufacturing, or consumer packaged goods (CPG) industry preferred
- Strong communication, problem-solving, and multitasking abilities
- Self-motivated and able to work independently in a fast-paced entrepreneurial environment
- Ability to collaborate effectively across multiple teams and external partners
Compensation & Structure
- Target annual compensation: Approximately $60,000 full-time equivalent, commensurate with experience
- Part-time portion (June through maternity leave start) compensated on a retainer basis
- Transition to full-time compensation during maternity leave coverage period
- Remote position with flexible collaboration expectations
- Role will be evaluated at the conclusion of the maternity leave coverage period based on business needs and performance
