Position Summary
The Customer Service & Operations Coordinator serves as the primary point of contact for customer orders, vendor coordination, and day-to-day operational support. This role works closely with Sales, Marketing, Finance, Warehousing, Logistics, and external suppliers to ensure timely order fulfillment, accurate invoicing, inventory visibility, and exceptional customer service.
The ideal candidate is highly organized, customer-focused, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
Customer Service & Order Management
- Serve as the primary contact for customer inquiries regarding orders, product information, pricing, shipment status, and account support.
- Process and manage customer sales orders from entry through fulfillment.
- Coordinate with warehouses and logistics partners to ensure timely and accurate deliveries.
- Maintain accurate order records and supporting documentation.
- Resolve customer issues and escalate complex matters when appropriate.
- Support Sales and Marketing teams with customer communications, meeting coordination, and administrative activities.
Purchasing & Vendor Coordination
- Create, manage, and track purchase orders.
- Coordinate with suppliers regarding product availability, pricing, order status, and delivery schedules.
- Maintain organized purchase order files and supporting documentation.
- Assist with supplier performance tracking and ongoing vendor relationship management.
- Support contract administration and supplier communications as needed.
Operations & Supply Chain Support
- Monitor production schedules, inbound shipments, and inventory levels to ensure product availability.
- Serve as a liaison between internal teams, suppliers, warehouses, and logistics providers.
- Partner with Regulatory, Quality, and Marketing teams to ensure compliance with labeling, specification, and documentation requirements.
- Assist in identifying process improvements that enhance operational efficiency and customer satisfaction.
Financial & Administrative Support
- Submit and track vendor invoices to ensure timely payment.
- Support invoice reconciliation and related recordkeeping activities.
- Maintain accurate operational records and reports.
- Assist with administrative projects and departmental initiatives as assigned.
- Inventory Management
- Support inventory monitoring and reporting activities.
- Coordinate and participate in annual physical inventory counts.
- Assist with inventory investigations and reconciliation efforts when necessary.
Qualifications
Required
- Bachelor's degree preferred or equivalent professional experience.
- 3-5 years of experience in customer service, operations, order management, supply chain support, or a related field.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Excel and Microsoft Office Suite.
Preferred
- Experience with ERP systems, order management platforms, or inventory management software.
- Experience working with suppliers, warehouses, or logistics providers.
- Background in consumer goods, manufacturing, or distribution environments.
- Experience in the agriculture industry is a huge plus

Compensation
$70,000 – $80,000 Annual Salary + Benefits
