We are seeking a dynamic, dependable, and customer-focused Customer Service Representative to join our growing team. In this vital role, you will serve as the first point of contact for our valued customers, delivering exceptional service with professionalism, urgency, and a positive attitude.

You will play an important part in creating a welcoming experience, resolving customer inquiries efficiently, and supporting daily office operations. We are a 24/7 company, so flexibility and on-call responsibilities are required as part of this role.

Key Responsibilities

  • Greet visitors and callers with a friendly, professional demeanor, creating a strong first impression.
  • Manage multi-line phone systems and direct calls accurately and courteously.
  • Assist customers via phone, email, and in person by answering questions, providing service information, and resolving concerns promptly.
  • Maintain accurate customer records through data entry, filing, and system updates.
  • Support administrative functions such as calendar management, appointment scheduling, correspondence, and document preparation.
  • Perform clerical duties including filing, photocopying, mail handling, and proofreading documents for accuracy.
  • Utilize Microsoft Office, Google Workspace, and other office tools to ensure efficient workflows.
  • Participate in on-call coverage as needed to support our 24/7 operations.
  • Contribute positively to team culture by collaborating effectively, communicating clearly, and maintaining a solutions-oriented mindset.

Qualifications & Experience

  • Previous office, customer service, front desk, or clerical experience preferred.
  • Strong customer service skills with excellent phone etiquette and interpersonal communication.
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Gmail, Calendar).
  • Experience with multi-line phone systems and handling a fast-paced environment.
  • Knowledge of QuickBooks or bookkeeping experience is a plus.
  • Strong organizational skills with the ability to multitask while maintaining attention to detail.
  • Dependable, adaptable, and comfortable with occasional after-hours or on-call responsibilities.
