We are seeking a detail-oriented and proactive Part Time Customer Service Specialist to join our team on a part-time basis. This role serves as a key liaison between clients, insurance companies, and referral partners, ensuring accurate policy management, timely follow-up, and exceptional customer support.

The ideal candidate is highly organized, possesses excellent communication skills, and is comfortable managing multiple administrative and customer service responsibilities in a fast-paced remote environment.

Responsibilities:

  • Export policy lists from Salesforce.
  • Ensure all policies are properly stored in Dropbox and reorder missing documentation as needed.
  • Request verbal policy information from insurance carriers.
  • Request and obtain complete policy documents when necessary.
  • Accurately update policy information and process required changes.
  • Create and maintain Trello cards with task deadlines and deliverables.
  • Develop weekly Action Plans and submit them every Friday.
  • Prepare and present monthly project summaries to leadership.
  • Provide weekly status updates regarding policy and project progress.
  • Communicate directly with insurance carriers by phone.
  • Introduce clients to strategic partners when appropriate.
  • Serve as the liaison between clients, insurance companies, and referral partners.
  • Monitor claim activity and assist in ensuring proper claim processing.

Daily Tasks:

  • Maintain Inbox Zero by managing and responding to emails daily.
  • Return voicemails and messages by the end of each business day.
  • Manage calendars using Outlook and Clockify.
  • Update recurring standard work tasks in Trello.
  • Submit End-of-Day (EOD) reports.

Requirements:

  • Experience in customer service, insurance, healthcare administration, or related fields.
  • Familiarity with Salesforce, Dropbox, Trello
  • Experience working in a remote environment.
  • Understanding of insurance policies and claims processes is a plus.
  • Proficiency with Google Workspace and Microsoft Office Suite (Outlook, Word, and Excel).
  • Strong analytical and problem-solving skills.
  • Excellent verbal and written communication skills.
  • High attention to detail and accuracy.
  • Strong organizational and time management abilities.
  • Ability to manage multiple priorities and meet deadlines independently.
