Position Overview
This role is at the core of the commercial organization’s operations, acting as the main point of contact for distributors and ensuring the accurate and seamless execution of the order-to-invoice process. The ideal candidate is highly detail-oriented, proficient in working with ERP systems, and possesses strong communication skills to collaborate effectively across Supply, Sales, Marketing, Finance, IT, and Regulatory teams. Success in this role requires the ability to remain responsive, organized, and composed in a fast-paced, high-volume environment.

1. Maintain visibility & ownership of all sales orders
2. Provide excellent service to our distributors
3. Foster close collaboration with Supply, Sales, Marketing, Finance, IT, and Regulatory teams.
4. Develop a strong understanding of the company’s operations, processes, and product portfolio.
5. Adaptability in a fast-paced environment
Key Responsibilities:
- Manage daily sales orders, including pre-orders for our campaigns
- Issue final invoices and credit notes related to distributor / internal orders
- Manage customer complaints related to shipment discrepancies or damage during transport
- Respond promptly to daily distributor inquiries via e-mail or phone
- Collaborate closely with the warehouse regarding customer orders, inventory, and shipments.
- Maintain accurate SKU-level data within the ERP system to support seamless operations.
- Play an active role in the warehouse transition project.
- Prepare reports, documentation, and correspondence as requested by the Customer Service Manager.
- Other related duties as assigned
Education and Experience:
- Bachelor’s degree in Business Administration or similar preferred
- 1-2 years’ experience in a similar role preferred
- Proficiency in MS Office: Excel, Word, Outlook is required
- Proficiency with Microsoft Dynamics or a similar ERP system is an advantage
- Well-organized, with the ability to prioritize tasks effectively
- Flexible with working hours
- Ability to communicate clearly
- Ability to work independently as well as working in a team
