Role Purpose
The role of the Document Controller is to manage the flow and maintenance of information and related electronic and/or physical documents throughout the business. This work ensures employees always have accurate information and allows them to focus on their respective roles.
Key Accountabilities
- Managing Documentation: Maintain accurate records of operational documents, including manuals, procedures, and guidelines. Ensure proper organisation, storage, version control and retrieval of documents related to air traffic control operations. This includes maintaining manuals, procedures, and records.
- Invoicing: Ensure invoices are accurate and in the correct format, to avoid delays in payment.
- Version Control: Keeping track of document versions, updates, and revisions. Organise and categorise documents for easy retrieval ensuring the most current versions are accessible to relevant personnel.
- Formatting and Editing: Formatting and editing documents to maintain consistency, clarity, and accuracy. Checking for grammatical errors, proper formatting, and adherence to guidelines.
- Distribution: Distributing documents to relevant stakeholders within the air traffic control unit. This may involve both digital and physical distribution.
- Archiving: Properly archiving historical documents and ensuring their availability for reference or audit purposes.
- Compliance: Ensuring all documentation complies with regulatory requirements, safety standards, and operational procedures.
- Coordination: Collaborate, when required, with adjacent ATC (Air Traffic Control) centres, airlines, and other stakeholders to share relevant information.
- Quality Assurance: Verifying the accuracy and completeness of all controlled documents.
- Conducting regular audits to ensure compliance with standards and regulations and addressing discrepancies promptly.
- Safety Management: Supporting safety initiatives by maintaining safety-related documents.
- Assisting the implementation of safety management systems (SMS) and fatigue management requirements.
Qualifications, Skills And Personal Attributes
- The role holder should ideally have a certification course in Document Control or Document Management.
- Aviation experience is preferred.
- A University Degree is strongly preferred for this role.
- Fluent in both English and Arabic.
- Knowledge of Microsoft Office software, especially Word, Excel and Outlook or similar programmes.
- Understanding of document control systems such as ASITE, BIW or 4projects.
- Verbal and written communication skills.
- Clear and efficient numbering and labelling skills.
- Typing accuracy and efficiency.
- Attention to detail to ensure documents are accurate and made to specifications.
- Filing and organisation skills for document storage.
- Industry-specific technical knowledge, including understanding of industry terms, policies, and processes.
- Independent with good initiative.
- Reliable and detail oriented as the role involves facilitating accurate communication across projects.
- Focused and able to work efficiently and accurately to meet deadlines.
