The Front Desk Administrator serves as the primary gatekeeper and data integrity specialist for the service department. The core purpose of this role is to decouple administrative data entry from the sales process, ensuring the service flow begins with high organization and accuracy before a vehicle reaches an Account Manager. This role is critical in reducing operational bottlenecks and allowing the account managers' team to focus on revenue-generating consultations.
Duties & Responsibilities:
Database Management & Data Integrity
- Efficiently code and update customer profiles and VIN data, specifically for new and cross-dealer vehicles
- Ensure centralized and consistent coding to maintain a clean CRM database for marketing and service reminders
- Eliminate data fragmentation by maintaining high standards of entry in the Dealer Management System
Appointment & Flow Logistics
- Manage the reservation calendar and coordinate appointment logistics
- Generate administrative reports and proactively reschedule no-show appointments
- Act as a filter for arriving vehicles to reduce morning rushes and distribute work evenly to the workshop
Customer Intake
- Greet customers immediately upon arrival to reduce perceived wait times and enhance the customer experience
- Verify necessary documentation and ensure the vehicle is prepared for the Account Manager's technical review
Requirements
Education: Degree in Business Administration, Communications, or a related field.
Experience: Previous experience in a customer-facing role is preferred – background in the automotive or hospitality sector is preferred.
Technical Skills: Proficiency in MS Office.
