Job Description:

  • Receive agency appointments and provide excellent customer service by preparing Estimated Port Disbursement Accounts (EPDA) and quotations.
  • Deliver port information to vessel masters and maintain communication with shippers, consignees, and principals.
  • Appoint and coordinate with sub agents/local agents regarding vessel operational activities.
  • Process new customer/vendor registration through KYC/KYV procedures and coordinate with the MIS team.
  • Input and register vessel data as well as port disbursement expenses into Front End and Acumatica systems.
  • Prepare and monitor prepayments for sub agents/local agents/vendors in accordance with the approved budget.
  • Supervise agency administration and operations, from vessel document receipt to cargo document completion.
  • Collect FDA documents from sub/local agents for processing in Acumatica and submission to the Finance & Accounting team for invoicing.
  • Send customer satisfaction questionnaires and provide port regulation updates to principals/customers.
  • Conduct vessel attending when required and ensure the readiness of vessel departure documents, including Bill of Lading (BL) issuance and handling of special shipments.

Qualification:

  • Minimum 5 years of experience in shipping agency operations.
  • Good communication skills in English, both verbal and written.
  • Strong knowledge of shipping and logistics operations.
  • Able to make quick and well-considered decisions in handling shipment-related issues.
  • Responsible, disciplined, and compliant with company regulations.
  • Up-to-date knowledge and understanding of port regulations.
