We are looking for a passionate Group Experience Coordinator to own the end-to-end traveler journey for our group experiences. In this role, you'll serve as the primary point of contact for travelers, managing everything from onboarding and pre-trip engagement to logistics coordination and post-trip follow-up. Working closely with operations and marketing teams, you'll ensure every traveler feels informed, supported, and excited throughout their journey while delivering seamless, memorable group experiences.

Key Responsibilities:
- Serve as the primary point of contact for assigned travelers before, during, and after their group experiences.
- Guide prospective travelers through the booking process and answer trip-related questions.
- Conduct onboarding and pre-departure calls to set expectations and gather traveler preferences, including dietary requirements, accessibility needs, and special occasions.
- Manage traveler communications across approved channels, including email, app messaging, WhatsApp, and Zoom.
- Coordinate all travel logistics, including accommodations, transportation, activities, dining experiences, and special events.
- Liaise with local vendors and tour operators to ensure seamless trip execution.
- Foster pre-trip engagement by managing group chats, hosting pre-departure Zoom sessions, and building community among travelers.
- Send reminders, travel documents, and final itineraries while ensuring travelers remain informed and confident throughout their journey.
- Handle traveler issues, emergencies, and escalations with professionalism and urgency.
- Maintain accurate traveler records, booking details, and payment information.
- Collect post-trip feedback and support rebooking, referral, and retention initiatives.
- Provide weekly updates to leadership on traveler sentiment, operational risks, and overall experience quality.
- Identify and implement improvements to enhance both operational efficiency and the overall traveler experience.
Ideal Candidate Has:
- 4+ years of experience in travel planning, trip coordination, hospitality, or tourism
- Exceptional communication and organizational skills
- Confident in managing large bookings and group logistics
- Highly detail-oriented and proactive
- Familiar with global destinations and passionate about travel
- Experience working with travel software, CRM tools, and Google Workspace
- Bonus: You’ve traveled with or planned group trips before
- Preferred: Bachelor’s degree in Hospitality, Tourism, Business, or related field
