3.) Key Responsibilities

  • Manage high-touch phone communications using RingCentral, serving as a warm, compassionate first point of contact for patients and their families
  • Conduct proactive marketing and outreach phone calls to healthcare facilities and referral coordinators to build positive relationships and schedule introductory meetings for leadership
  • Execute critical backend administrative tasks, including processing referral intake documentation, managing schedules, and verifying patient eligibility or authorization requirements
  • Assist with basic data maintenance, billing-related processes, and foundational ICD-10 medical coding tasks (with full internal training provided)
  • Handle sensitive medical records and patient data with absolute discretion, ensuring complete adherence to HIPAA compliance and patient confidentiality standards
  • Communicate fluently with a portion of our Florida-based patient demographic who primarily communicate in Spanish

4.) Must-Have Requirements

  • Fluent verbal and written English communication skills alongside professional conversational Spanish abilities (to assist approximately 5% to 25% of our Spanish-speaking patient demographic)
  • An exceptional phone presence defined by a kind, warm voice, deep empathy, and the immense patience required to talk to elderly or recovering patients
  • A highly proactive, engaged mindset with a genuine enthusiasm for learning new internal systems, medical databases, and operational procedures
  • Proven organizational skills and a strong attention to detail, showing comfort handling a blend of phone work and administrative data entry
  • A reliable, secure, and completely quiet home office environment free from background noise

5.) Nice-to-Have Requirements

  • A foundational background or general familiarity with physical therapy environments, home health agencies, or medical office settings
  • Previous professional experience utilizing RingCentral or similar cloud-based phone systems
  • Familiarity with healthcare administration elements such as medical billing, insurance verification, or basic coding tracking
