🌟 We Are Hiring: Healthcare Customer Service Specialist 🌟

The Virtual Concierge is responsible for serving patients by greeting and helping them, scheduling appointments, maintaining records and accounts, answering all inbound calls and outside referrals.

Key Responsibilities:

  • Patient Interaction: Greet and assist patients and visitors, either in person or over the phone, answering inquiries or referring them to the appropriate department.
  • Appointment Scheduling: Optimize patient satisfaction by scheduling appointments, maintaining provider time management, and ensuring the efficient use of treatment rooms.
  • Patient Comfort: Address patient concerns and anxieties, answer questions, and maintain a welcoming and professional reception/call center area.
  • Record Management: Keep patient records organized and up to date, ensuring quick access to treatment information and patient accounts.
  • Financial Management: Maintain patient accounts by collecting and updating financial information, processing charges, and ensuring third-party claims are managed efficiently.
  • Confidentiality: Protect patient confidentiality by adhering to HIPAA compliance standards.
  • Additional Duties: Manage E-fax, incoming post-operations documents, medical charts, and outbound referrals. Follow up on the status of referrals, ensuring that patients return for post-referral care.

Additional Responsibilities Include:

  • Filing and organizing medical records and patient charts, maintaining proper documentation.
  • Handling medical record release requests and following up with doctors for signatures.
  • Coordinating with the Clinical Director to ensure timely dictation and referral letters are sent to referring doctors.
  • Posting phone payments to patient accounts.

Required Qualifications:

  • Communication Skills: Clear and effective written and verbal communication, with the ability to engage with individuals at all organizational levels, including executive leadership.
  • Customer Service: Strong customer service orientation, ensuring patient satisfaction and retention.
  • Microsoft Office Proficiency: Comfortable using the Microsoft Office suite for task management and documentation.
  • Basic Computer Skills: Competent in basic computer operations to ensure smooth task execution.
