Job Overview

We have an HR Employee Services Assistant role vacant based at our Heatherwood Hospital site in Ascot, with cross site working at Wexham Park Hospital, Slough and Frimley Park Hospital, Frimley.

The HR team at Frimley Health is a close-knit, friendly, and welcoming team There are many examples of internal development and progression. The team encourages all staff to undertake development both on a formal and informal basis.

Main duties of the job

The Employee Services team is providing transactional, administrative and advisory support to the Trust and are the first point of contact for general HR issues and enquiries. The team look after employees across all our site providing a high level of customer service to everyone we have contact with is key.

You will be giving general advice and HR support to the rest of the team You will process Termination forms, send out Bank Contracts, create smartcards, creating ID Cards, filing chasing Visa information or general ESR data which is missing. You will need to have experience dealing with people face to face and on the phone . You will need to be confident with IT systems as this role will involve using a variety of HR systems. You will need experience answer a lot of queries via email and on the telephone as well as face to in the off site offices. This is office based and Cross site working cover Slough, Ascot and Frimley. You will need to be able to work in the offices Mon-Fri covering the hours 8-4, 8.30-4.30 or 9-5.

Detailed Job Description And Main Responsibilities

KEY TASKS & RESPONSIBILITIES:

  • To be responsible for delivering a highly responsive information and advice service, responding to all formats of enquiries personally and in group sessions using many mediums, liaising with specialist functions as required.
  • To make accurate and effective use of computerised office systems to create and revise documents, recording all customer interactions and producing routine reports.
  • To undertake a variety of routine activities, administration processes and project work, developing and maintaining written procedures and standards within the team.
  • To advise managers on basic operational issues and those relating to terms and conditions of employment, seeking guidance from senior colleagues as necessary.
  • To use a number of HR systems on a regular basis, including the Electronic Staff Record (ESR), TRAC recruitment system and NHS Jobs.
  • To input new starters, staff changes and leavers into ESR, ensuring high quality and timely processing at all times, in line with department procedures and deadlines.
  • To be a Registration Authority (RA) Agent for the Trust, supporting smartcard issue and management, including printing cards, PIN unlocking and certificate renewals.
  • To undertake data input, photocopying, filing and typing duties as directed.
  • To support the team to maintain accurate, timely and legible records and files..
  • To be responsible for the use of physical equipment and to report any defects in equipment as appropriate.
  • To provide ad-hoc support to HR related projects as required, including projects to increase and develop the use of ESR, and to improve current HR processes.

Qualifications

Essential criteria

  • (5 GCSEs or equivalent at C or above) or equivalent experience

Desirable criteria

  • Certificate in HR Practice (CHRP / CPP) or equivalent level of experience

Experience

  • Experience of working as part of a team/customer care
  • Experience of working in an office environment / administrative role

Desirable criteria

  • Experience of working within Human Resources
  • Experience of using the Electronic Staff Record (ESR) system

Skills and knowledge
