Job Title: Expediting Assistant (Freight)

Position Overview:

Expediting Assistant (Freight) will be an integral part of Company logistics team, ensuring the timely and efficient delivery of materials to support marine operations. Working in a dynamic and fast-paced environment, Logistics Expediting Assistant will play a crucial role in coordinating with Company Inventory Warehousing & Logistics ( IWL ) team, Suppliers, Company Marine procurement team, NSQL fleet stakeholders , External 4PL logistics vendors , Destination Vessel Agents for expediting the shipments to meet operational deadlines.

Key Responsibilities:

Shipment Planning

  • Communicate with Company Inventory Warehousing & Logistics ( IWL ) team, Suppliers, Company Marine procurement team, NSQL fleet stakeholders , External 4PL logistics vendors , Destination Vessel Agents regarding orders and coordinate delivery schedules.
  • Maintain strong relationships with 4PL logistics service providers and negotiate favourable delivery terms and agreements.

Shipment Tracking & Coordination:

  • Track the movement of shipments from suppliers to final destination points. ( Company Ras Laffan Warehouse , 4PL Logistics Vendors consolidation warehouse , Destination vessel agents)
  • Coordinate with 4PL Logistics Vendors and carriers to optimize transportation routes at optimum cost and minimize transit times.

Shipping Invoice Processing

  • Review the 4PL Logistics Vendors & ensure required supporting documentation ( POD , Official receipts , Shipping Docs ) submitted with logistics vendor invoices
  • Process 4PL logistics Vendor Invoices through SAP LE Module.

Issue Resolution:

  • Address any discrepancies or issues related to shipments, or deliveries promptly and efficiently.
  • Collaborate with cross-functional teams to resolve logistics-related problems and prevent recurrence.

Customer Service:

  • Serve as a point of contact for internal teams and external stakeholder regarding shipment status and delivery inquiries.
  • Address any customer concerns or issues related to Shipment fulfilment promptly and professionally.

Documentation and Reporting:

  • Assist in preparing shipping documents, such as shipping invoices, Packing list..etc
  • Provide administrative support to the logistics team, including data entry, filing, and correspondence.
  • Maintain accurate records of Company Marine Logistics activities, including shipments with associated PO details, 4PL logistics vendors invoices, and shipping documents.
  • Prepare regular reports on 4PL logistics vendors delivery performance, highlighting key metrics and areas for improvement.

Working Conditions:

  • This role primarily operates in an office environment but may require occasional visits to ports or shipping facilities.
  • May involve overtime or weekend work to accommodate shipment schedules or address urgent logistical issues.

Qualifications:

  • Bachelor's degree or Diploma in logistics, supply chain management, business administration, or a related field.
  • Minimum 3-5 years Previous experience in freight forwarding or Logistics expediting roles.
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook).
  • Familiarity with logistics PO Management software or SAP ERP systems is an advantage.
  • Ability to work effectively in a multicultural and diverse team environment.
