We are looking for a proactive and detail-oriented Office Administrator to support our day-to-day office functions, employee experience, and cross-functional coordination. This role requires strong organisational skills, problem-solving ability, and the capability to work collaboratively across teams.

Key Responsibilities

Operations & Administration

  • Manage office operations including supplies, vendors, facilities, and general upkeep
  • Coordinate meetings, events, and team activities (including catering and logistics)
  • Handle vendor management, invoicing, and coordination with finance teams
  • Liaise with building management and external vendors (cleaning, maintenance, etc.)
  • Identify operational bottlenecks and drive process improvements
  • Organise internal events and monthly team meetings
  • Act as a point of contact for employee queries and direct them to relevant teams

HR Support

  • Assist with onboarding and offboarding processes
  • Support HR initiatives and employee-related projects as needed

Compliance & Workplace Safety

  • Ensure adherence to health, safety, and workplace compliance standards
  • Coordinate audits and maintain office readiness (first aid, safety equipment, etc.)
  • Work with legal/compliance teams on documentation and policies

Legal & Vendor Coordination

  • Support contract coordination, insurance renewals, and vendor agreements
  • Liaise with legal teams for documentation and operational requirements

IT & Systems Coordination

  • Collaborate with IT/sysadmin teams for assets, access, and office infrastructure
  • Assist employees with basic IT-related queries and coordinate issue resolution

Cross-functional Support

  • Work closely with marketing and other teams to support events and initiatives
