POSITION SUMMARY:

The Online Leasing Representative is responsible for managing the end-to-end leasing process for residential properties, including villas and apartments, through digital and direct client engagement channels. The role focuses on converting leasing inquiries into signed agreements by conducting client interactions, coordinating property viewings, and ensuring timely completion of leasing documentation.

The position also provides post-lease support and coordinates property handovers, ensuring a smooth tenant onboarding experience. The role contributes to customer satisfaction, operational efficiency, and compliance with UAE real estate regulations and company leasing procedures.

KEY RESPONSIBILITIES AND PERFORMANCE STANDARDS:

Key Accountabilities

  • Manage and respond to online leasing inquiries through digital platforms, ensuring timely follow-up and conversion.
  • Engage with prospective tenants through calls, emails, and virtual or physical interactions.
  • Conduct property viewings, site visits, and virtual tours to showcase available units.
  • Convert qualified leads into signed lease agreements in line with leasing targets.
  • Guide clients through the leasing process, including documentation, terms, and conditions.
  • Coordinate preparation and completion of lease agreements and related documentation.
  • Ensure accuracy and completeness of leasing records and client information in systems.
  • Provide post-lease support by addressing tenant queries and coordinating issue resolution.
  • Support tenant onboarding by coordinating move-in schedules and required documentation.
  • Coordinate property handovers, including key management and documentation.
  • Conduct basic handover inspections to ensure property readiness.
  • Liaise with operations and maintenance teams to ensure units are ready for occupancy.
  • Ensure compliance with company leasing policies and UAE real estate regulations.
  • Maintain accurate tracking of leasing activities, inquiries, and conversion status.
  • Support customer satisfaction initiatives and maintain positive tenant relationships.
  • Escalate complex issues or client concerns to the Team Leader where required.
  • Perform additional duties as assigned by the line manager in line with operational needs.

COMMUNICATIONS & WORKING RELATIONSHIPS:

  • Internal: Property Management Team, Leasing Team, Operations, Maintenance, Legal/Contracts
  • External: Prospective tenants, existing tenants, property owners (if applicable), service providers

CONTEXT, WORK ENVIRONMENT & DECISION-MAKING AUTHORITY:

  • Operates in a fast-paced, customer-facing leasing environment with high interaction volumes.
  • Works under supervision of the Online Leasing Team Leader following defined leasing procedures.
  • Limited decision-making authority; escalates pricing, contractual, and exception approvals.
  • Accountable for timely response, conversion of leads, and quality of tenant experience.

FINANCIAL RESPONSIBILITIES:

  • Supports leasing revenue generation through successful conversion of inquiries.
  • Ensures accuracy in lease documentation and coordination of related payments.
  • No direct budget ownership.

SELECTION CRITERIA:

Essential

  • Diploma or Bachelor’s degree in Business Administration, Real Estate, or related field.
  • 1–3 years of experience in real estate leasing, property management, or customer service.
  • Experience in handling residential leasing processes.
  • Strong communication and customer service skills.
  • Basic knowledge of CRM or property management systems.

Desirable

  • Experience in villa and apartment leasing within UAE.
  • Understanding of UAE real estate market and leasing processes.
  • Exposure to digital leasing platforms and online lead management.
  • Multilingual capabilities to support diverse tenant base.
