Job Description
The Rentals Support Clerk provides essential administrative, customer service, and operational support to the Rentals Department, ensuring smooth and efficient daily operations across the full rental workflow.

Key Responsibilities
Administrative & Documentation Support
- Prepare, update, and maintain rental agreements, check sheets, and customer documentation.
- Scan, upload, and file documents (driving licences, agreements, check sheets) into IT systems.
- Ensure all rental files are complete, accurate, and up to date.
- Organise daily rental schedules, check sheets, and next-day rental lists.
Customer Service & Booking Support
- Handle walk-in, online, and phone enquiries, including insurance-related rentals.
- Create and manage bookings, extensions, and customer requests.
- Assist customers at the counter and over the phone, providing guidance and resolving queries.
- Follow up with clients regarding collections, extensions, documentation, and no-shows.
Operational & System Support
- Update systems for vehicle returns and ensure proper handover of documentation.
- Coordinate with Aftersales by sending replacement lists and supporting vehicle turnaround processes.
- Support general office operations, including calls, emails, and assisting colleagues during busy periods or leave.
Basic Finance & Invoicing Support
- Assist with issuing cash sales for rentals, refuelling, extensions, and additional charges.
- Support invoicing processes, including preparing, scanning, and sending invoices.
- Input fuel chits and assist with basic financial documentation and PO processing.
- Perform any additional tasks assigned by management.
Requirements
- Experience in an administrative, customer service, or clerical role (automotive or rental industry is an asset).
- Strong organisational skills and attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to multitask and work in a fast-paced environment.
- Customer-service mindset and professional attitude.
- Basic understanding of invoicing or accounts processes is considered an asset.
- Ability to work independently and as part of a team.
- Good communication skills.
- Proficient in English and Maltese.
