Virtual Medical Assistant – Customer Service (Multispecialty Clinic)
We are seeking an experienced Virtual Medical Assistant to join a multispecialty clinic team. The ideal candidate will have prior experience working with U.S. healthcare practices, be proficient in eClinicalWorks (eCW), and excel in a fast-paced, high-call-volume environment. This role is primarily focused on patient customer service, appointment scheduling, inbound call management, and administrative support to ensure an exceptional patient experience.
Start Date: Immediate
Key Responsibilities
- Answer and manage a high volume of inbound patient calls (approximately 80+ calls per day)
- Schedule, reschedule, and cancel patient appointments across multiple specialties
- Create and manage Telephone Encounters (TEs) in eClinicalWorks (eCW)
- Assist patients with questions, concerns, and appointment-related inquiries
- Verify and update patient demographics, insurance information, and contact details
- Explain basic insurance coverage information, including HMO and PPO plan differences
- Verify patient eligibility and insurance coverage when needed
- Route patient requests and concerns to the appropriate clinical or administrative team
- Document all patient interactions accurately in eCW
- Follow up on patient requests and ensure timely resolution
- Maintain a high level of professionalism, empathy, and patient confidentiality
- Support clinic operations by ensuring accurate communication between patients, providers, and staff
Required Qualifications
- Minimum 1–2 years of experience working with U.S. healthcare practices
- Hands-on experience with eClinicalWorks (eCW) is required
- Strong understanding of HMO, PPO, insurance verification, and patient eligibility processes
- Experience handling high-volume inbound calls in a medical office or healthcare setting
- Excellent verbal and written English communication skills
- Strong multitasking, organizational, and time-management abilities
- Ability to work independently in a remote environment
- High attention to detail and commitment to patient satisfaction
Preferred Experience
- Virtual Medical Assistant experience supporting U.S.-based clinics
- Experience in multispecialty healthcare environments
- Familiarity with patient scheduling workflows and customer service best practices
