Overview:

As the Customer Care Officer at Al-Qadsiah Club, you will be the first point of contact for members and parents across the Multisport Academy, delivering a professional, responsive and welcoming experience throughout every stage of their journey. By centralising customer-facing interactions, this role allows coaching and operations staff to focus on their core responsibilities while ensuring members receive prompt, accurate, and professional support at every touchpoint.

Key Responsibilities:

Inquiry & Communication Management

  • Act as the first point of contact for member and parent enquiries across phone, email and WhatsApp.
  • Respond promptly and professionally to all enquiries, ensuring a consistently high standard of customer service.
  • Escalate complex enquiries to the appropriate department and follow up to ensure timely resolution.

Enrolment Support

  • Guide prospective members through the enrolment process, providing advice and directing enquiries to the appropriate teams.
  • Liaise with sport team managers to ensure registrations are processed accurately and efficiently.
  • Identify and resolve enrolment issues while keeping members informed throughout the process.

Retention & Member Experience

  • Build positive relationships with members and parents, ensuring they feel supported throughout their academy journey.
  • Proactively gather feedback and identify opportunities to improve the overall member experience.
  • Identify patterns in complaints or drop-offs and flag them to management with recommendations.
  • Support retention initiatives by ensuring communication is timely, consistent and professional.

Administration & Reporting

  • Maintain accurate records of customer enquiries, registrations and complaints.
  • Produce regular reports on enquiry volumes, response times and member satisfaction.
  • Support operational systems, booking platforms and payment tracking where required.

Qualifications

Desirable:

  • Diploma or Bachelor's degree in Business Administration, Communications or a related field.
  • Previous experience working in a customer-facing or customer service role, preferably within sports, hospitality, or education.

Skills, Knowledge and Experience:

Essential:

  • Minimum of 1–2 years' experience in a customer-facing or customer service role.
  • Excellent interpersonal and communication skills with a warm, professional and solution-focused approach.
  • Excellent written and verbal communication skills in both Arabic and English.
  • Strong organisational skills with the ability to manage multiple enquiries simultaneously.
  • Ability to build positive relationships with members, parents and colleagues.
  • Experience using communication platforms including WhatsApp, email and Microsoft Office applications.
