Job Summary

We are seeking a highly organized, proactive, and detail-oriented Customer Service Administrator to join our team in San Diego. In this role, you will manage the end-to-end order administration process, coordinate directly with clinical providers and pathology labs, and ensure critical patient specimens are processed without delay. The ideal candidate thrives in a fast-paced environment, possesses strong communication skills, and is comfortable navigating CRM systems like Salesforce.

Key Responsibilities

  • Order & Workflow Management: Manage the entire order process for assigned accounts within Salesforce.com (SFDC). Monitor the Customer Service Dashboard to track open tasks, pending specimens, and clinical review statuses.
  • Provider & Lab Coordination: Contact ordering providers via phone or fax to resolve missing information, clinical discrepancies, or specimen issues. Fax specimen requests to pathology labs and follow up consistently to expedite turnaround times (TAT).
  • Issue Resolution: Proactively resolve order holds to ensure received specimens can begin testing immediately. Coordinate additional materials from pathology for cases with insufficient sample volume (QNS).
  • Communication & Support: Manage incoming calls via the Customer Service Call Queue and monitor shared team email inboxes. Promptly route physician call-back requests to the appropriate internal teams (Pathologists, Medical Science Letters, or Sales) and document interactions in SFDC.
  • Account & Portal Administration: Create and maintain accurate medical practice and physician records in Salesforce. Set up new portal users, manage password resets, and provide basic system support.

Qualifications

  • Education: High School Diploma required; Bachelor’s degree preferred.
  • Experience: Previous experience in customer service, healthcare administration, or data entry within a regulated environment is highly preferred.
  • Technical Skills: Proficiency with Salesforce.com (SFDC) or similar CRM platforms is a strong plus.
  • Skills: Excellent verbal and written communication skills, strong organizational habits, and the ability to maintain urgency and follow up diligently.
  • Compliance: Ability to successfully complete on-the-job training, including HIPAA compliance and documentation standards to maintain state, CLIA, and CAP requirements.
