Job Overview:

The Customer Service Expert will support daily customer service and order management operations. This role focuses on handling routine inquiries, processing orders, and coordinating with internal teams to ensure smooth execution and timely delivery.

Job Responsibilities:

  • Assist in handling customer inquiries related to quotations, orders, and product information in a timely manner.
  • Support the preparation of quotations and processing of purchase orders with accuracy.
  • Follow up on customer orders, delivery schedules, and shipment status updates.
  • Assist in resolving basic customer issues and escalate more complex cases to senior team members.
  • Coordinate with internal teams (Sales, Logistics, Finance) for order processing and status updates.
  • Support in rectifying part number discrepancies and updating order details in the system.
  • Communicate order updates, delays, and delivery changes to customers under guidance.
  • Assist in preparing Request for Quotations (RFQs) and issuing Purchase Orders (POs) to suppliers.
  • Monitor and update order status, lead times, and inventory allocation in the system.
  • Maintain accurate records and ensure proper documentation of transactions.
  • Support data entry and reporting for KPI tracking.
  • Participate in team activities, training sessions, and process improvement initiatives.
  • Provide operational support during peak periods or manpower shortages.

Job Requirements:

  • Must have Diploma or higher level of education
  • At least have 4 to 6 years of relevant working experience, with the ability to handle multiple tasks
  • and provide effective solutions to customer and operational issues.
  • Must strong interpersonal, communication, organizational, and problem-solving abilities.
  • Proficient in MS Office and Outlook
  • Comfortable working in a high-volume and fast-paced environment.
  • Ability to multitask, prioritize effectively, and manage an average of 50 quotations/sales orders per day (with 20 line items per order).
  • Service-oriented with good telephone etiquette and customer service skills.
  • Good command of Bahasa Malaysia and English; proficiency in other language is a plus.
  • Must be a team player, capable of working independently with minimal supervision, and have a positive and professional work attitude.
  • Willingness to perform additional duties as required.
