Key Responsibilities
- Act as the primary point of contact between clients, exhibition organisers, and internal project teams.
- Coordinate directly with exhibition organisers regarding stand build approvals, technical submissions, venue regulations, and event requirements.
- Liaise closely with clients, designers, project managers, and operations teams to ensure project information is communicated accurately and efficiently.
- Monitor project timelines and progress, proactively following up on approvals, submissions, outstanding actions, and key deliverables.
- Manage and maintain project information using company systems, including Monday.com and other internal software platforms.
- Prepare and update project trackers, reports, schedules, and documentation using Microsoft Excel and other Microsoft Office applications.
- Respond promptly to client enquiries, providing professional support and effective solutions to project-related issues.
- Identify potential project risks or challenges and work collaboratively with internal teams to implement solutions.
- Ensure all project information is accurate, up to date, and readily accessible to relevant stakeholders.
- Support the successful planning, coordination, and delivery of exhibition stands, pavilions, and event projects.
Requirements
- Previous experience in customer service, project coordination, exhibitions, events, or a related industry.
- Strong communication and interpersonal skills, with the ability to build effective relationships with clients and stakeholders.
- Excellent organisational skills with the ability to manage multiple projects and deadlines simultaneously.
- High level of attention to detail and a proactive approach to problem-solving.
- Proficiency in Microsoft Office applications, particularly Excel.
- Experience using project management platforms such as Monday.com is advantageous.
- Ability to work effectively under pressure in a fast-paced project environment.
- Professional and confident when interacting with clients, suppliers, contractors, and event organisers.
- Strong administrative and coordination capabilities, with the ability to manage competing priorities.
- Fluency in English is essential; speaking Arabic would be considered an advantage.
- Knowledge of the exhibitions, events, or fit-out industry would be beneficial.
