The Role
LOAR PLLC is seeking a highly organized, proactive, and people-centered Executive Operations Coordinator to support the day-to-day operations of our growing law firm. This is a high-impact role for someone who thrives in fast-paced environments, anticipates needs before they arise, and enjoys helping a mission-driven team operate at a high level.
Based full-time in our Austin office, this position serves as a central operational hub for the firm — supporting leadership, coordinating office operations, helping manage intake flow and communications, and ensuring both clients and team members feel supported. Given the role's vital functions on connecting all our virtual offices, this position will be in office full time.
This role blends elements of office management, executive support, intake oversight, operations coordination, and culture leadership. It is ideal for someone who enjoys wearing multiple hats and being trusted with meaningful responsibility. It also incorporates event management functions for a team member that enjoys the creative element. Travel is optional, but if desired, the role can include occasional travel for firm events, conferences, and trials (i.e. throughout Texas, Denver, and Seattle).

Qualifications
- Strong Operations Management skills, including the ability to streamline workflows and oversee daily processes
- Excellent Communication skills, both written and verbal, to coordinate with clients and team members effectively
- Proficient in Administrative Assistance tasks such as managing schedules, coordinating meetings, and organizational support
- Exceptional Customer Service skills, with a client-focused approach to addressing inquiries and providing updates
- Strong Analytical Skills for evaluating processes and identifying areas for improvement
- Proficiency in relevant software such as Microsoft Office Suite and other productivity tools
- Ability to multitask and prioritize in a fast-paced environment
- Previous experience in a legal environment or professional service firm is a plus, but not required.
Key Responsibilities
- Serve as a key operational and administrative support partner to firm leadership
- Help coordinate daily office operations and ensure smooth internal workflows
- Assist in managing front office communications and intake coordination
- Triage incoming calls, emails, and urgent matters with professionalism and discretion
- Track follow-ups, deadlines, and operational priorities across teams
- Manage mail, deliveries, check processing, and administrative logistics
- Support scheduling, meetings, travel coordination, and event planning as needed
- Maintain organized digital and physical systems, files, and records
- Assist with onboarding coordination, vendor communication, and office organization
- Help create a welcoming, responsive, and high-functioning environment for both clients and staff
Compensation & Benefits
- Competitive salary (base salary range: $57,000–$68,000 depending on experience and qualifications, with higher compensation potential for candidates bringing strong operations leadership or business development experience)
