Our client provides compassionate, center based ABA therapy and autism evaluations for children. We help families get answers and services quickly, often with no waitlist, so children can start making progress in communication, behavior, and independence.
Our client is growing rapidly in Utah and is looking for an Intake Specialist to be the first point of contact for families seeking autism testing and ABA therapy.
Position Overview
As an Intake Specialist, you will speak with parents who are concerned about their child and guide them through the first steps of getting help.
This is not only a scheduling role. It is a high impact, parent facing position where your ability to connect, respond quickly, and guide families will directly impact whether a child gets services.
Key Responsibilities
Respond to new leads within 5 to 10 minutes, calls, texts, emails
Speak with parents to understand their concerns and needs
Clearly explain our client’s services, autism evaluations and ABA therapy
Guide families through next steps, screenings, evaluations, assessments
Schedule appointments on internal calendars
Collect basic intake information, insurance, documents
Follow structured follow up process, calls, texts, emails over multiple days
Accurately update lead statuses and notes in ClickUp CRM
Maintain a warm, supportive, and professional tone on every interaction
Daily Expectations
High volume of outbound calls
Fast response time is critical
Consistent follow up on all assigned leads
Clear, accurate communication, no misinformation
Strong documentation of all interactions

Qualifications
1 plus year experience in intake, customer service, call center, or healthcare coordination
Strong phone presence, friendly, confident, and conversational
Ability to build trust quickly with parents
Highly organized and detail oriented
Comfortable working in a fast paced environment
Tech savvy, CRM systems, Google tools
Reliable internet and quiet workspace
Preferred, Not Required
Experience in ABA, autism services, or healthcare
Familiarity with insurance basics, Medicaid or commercial
Experience with intake or patient coordination
Experience with CRMs like ClickUp, GoHighLevel, or similar
