This is a full-time, on-site Admin Executive role based in Maldives. The Admin Executive will handle day-to-day general administration tasks, including managing office correspondence, maintaining records and files, and coordinating meetings, appointments, and travel arrangements. This role will support senior executives with executive administrative assistance, such as preparing documents, presentations, and reports, and ensuring timely follow-ups on action items. The Admin Executive will liaise with internal teams and external stakeholders, ensuring clear and professional communication at all times. Additional responsibilities include managing office supplies and facilities, assisting with basic finance or HR-related documentation, and contributing to a well-organized, efficient, and compliant office environment.
Key Responsibilities:
- Manage day-to-day office operations and ensure efficient administrative support across departments.
- Coordinate meetings, appointments, travel arrangements, and event logistics.
- Maintain office records, filing systems, and documentation in both physical and electronic formats.
- Oversee procurement of office supplies and ensure proper inventory management.
- Liaise with vendors, service providers, and external stakeholders regarding administrative matters.
- Prepare correspondence, reports, presentations, and other administrative documents.
- Support human resource activities, including onboarding, attendance tracking, and personnel record management.
- Ensure compliance with organizational policies, procedures, and administrative standards.
- Process invoices, payments, reimbursements, and other financial transactions accurately and on time.
- Maintain financial records and support bookkeeping activities.
- Assist in preparing budgets, financial reports, and cash flow forecasts.
- Monitor expenses and ensure expenditures remain within approved budgets.
- Reconcile bank statements, petty cash, and financial accounts regularly.
- Support month-end and year-end financial closing processes.
- Coordinate with auditors, accountants, and financial institutions as required.
- Ensure compliance with financial regulations, internal controls, and reporting requirements.
- Track accounts payable and accounts receivable and follow up on outstanding balances.
- Maintain confidentiality of financial and organizational information.
Candidate Profile:
- Strong Executive Administrative Assistance and Administrative Assistance skills to support leaders with scheduling, documentation, coordination, and follow-ups.
- Proficiency in General Administration, including record-keeping, office coordination, and basic reporting.
- Excellent Communication and Interpersonal Skills to interact effectively with colleagues, management, and external partners.
- Good command of MS Office and other standard office software; ability to learn internal systems quickly.
- Prior experience in an administrative or executive support role, preferably in a corporate or engineering environment.
- Ability to work independently, prioritize tasks, and manage time effectively in a fast-paced setting.
- Attention to detail, strong organizational skills, and a proactive, service-oriented mindset.
- Relevant diploma or degree in Business Administration, Management, or a related field is an advantage.
